Inviting users and managing permissions

The business owner invites an employee by name, phone and email, describes their job and opens departments for them. The invitation arrives by email and WhatsApp.

Want someone from your team to work with you in Bambook? Invite them, describe what they do in the business and decide which departments they see. Only the business owner sees this page and can change permissions.

Open Users and permissions

In the side menu, below the main menu, click Users and permissions.

Fill in the invitation

In the "Invite a new user" card fill in:

  • Full name - how they appear across the system, for example when picking who a follow-up is assigned to.
  • Mobile phone - an Israeli mobile (05X-XXXXXXX) or an international number starting with +. The WhatsApp invitation goes there, and so do their follow-up reminders.
  • Email - where the link and the code are sent.
  • Job description (optional) - for example "Secretary" or "Sales rep". Shown under their name.

A new invitee joins as a "user"; changing the role (for example to "approver" or "business owner") is done afterwards from the users list.

Choose departments

Under "Department access" turn each department on or off: Marketing, Sales, Finance, Calendar & bookings. Default for a new user: marketing and sales open, finance and calendar closed.

Note: The finance department holds sensitive information about revenue, expenses, profitability and goals - so it is closed by default and opened only for those who really need it.

Send

Click Send invitation. It goes out by email and WhatsApp - through the business's own email (Brevo) and WhatsApp (Green API) when connected, otherwise through Bambook. Right after sending you see what went out and how.

What the employee does

  1. Opens the link (valid for 7 days).
  2. Asks for a code - a 6-digit code is emailed to them.
  3. Types the code, chooses a password - and is in. From then on they sign in with their email and that password.

An active employee is covered by the business owner's subscription, up to the number of users the plan includes. An invitation not yet used already holds a seat.

An invitation that didn't arrive

Next to someone who hasn't joined yet there is Resend - the old link stops working and a new one goes out. Cancel an invitation with Remove user.

Change details and permissions later

In the list, click the arrow next to the user: change the job description, turn departments on or off and click Save permissions. Change a role from the role list in the same row, and remove with Remove user.

Tip: Settings pages are always open to every logged-in user. A user with no department at all sees "You have no access to pages" - just open at least one department for them.
